Planning a Marquee Function?
What you’ll need to think about…
- What date will my function be?
- How many people do I want to shelter?
- Will the marquee site be safe and sheltered from strong winds?
- Will guests be standing or sitting?
- Will I be using long tables or round tables?
- What size tables will I use? What type of chair will I use?
- Will I have the catering area in the marquee or will I have a separate area for the catering? Will I need a chiller trailer?
- Will I need a dance floor or platform area?
- Will I require any floor covering eg. matting?
- Will the marquee area have adequate area for pegging down into the earth?
- Will the layout provide suitable and safe exits for guests?
- What kind of lighting will I need?
- Will the electricity supply be adequate and safe?
- Will the heating be appropriate and safe for the venue. Note that gas and diesel heaters require good ventilation and cannot be close to marquee walls or the roof area.
- Will toilet facilities be adequate and easily accessible for the number of guests? Will I require portaloos?
- How will I decorate the marquee?
- Will I need a Council permit? (Permits required for marquees over 100SqM)

Plan your function! Print the grid below and draw in your seating plan.
- Keep in mind table sizes.
- Trestle tables are usually 2.4M or 1.8M long.
- 2.4 trestles fit 4 people on each side and 1 at each end if left open – 10 in all.
- 1.8 trestles fit 3 people on each side and 1 on each end if left open – 8 in all.
- Round tables for functions can be 1.2m, 1.5m, or 1.8m diameter.
- 1.2 tables fit 5-6 people, 1.5 tables fit 7-8, and 1.8 fit 9-10 people.
- Bar leaners at Matamata Hire are 120cm x 60cm.
- Remember to allow space for chairs and walking space around tables.
- Mark in any catering areas and stage or dance floors.
